Plenty of great schools run on a spreadsheet for years. It's free, it's familiar, and it works โ until it doesn't. The tabs multiply, two people edit the same file, a formula breaks, and you realise the thing holding your whole membership together is one accidental delete away from chaos. Moving to proper software feels daunting, but done in steps it's genuinely calm.
Know when it's time
You don't need to switch the moment you can. But a few signs mean the spreadsheet is now costing you more than it saves:
- You dread anyone else touching the file in case they break it.
- You can't answer simple questions ("who hasn't trained this month?") without an afternoon of filtering.
- Member details, payments and attendance live in three different places that never quite agree.
If two or more of those ring true, it's time.
A spreadsheet stores your data. Software works with it โ that's the upgrade you're really buying.
Migrate in steps, not one leap
The mistake is trying to move everything at once. Break it down:
- Tidy first. Clean the spreadsheet before it goes anywhere โ remove duplicates, fix obvious typos, and make sure each member is one row.
- Start with members. Get your student and family records in first. That's the core; everything else hangs off it.
- Add the live stuff next. Classes, memberships and check-in come once the people are in place.
- Run both briefly. For a week or two, keep the spreadsheet as a safety net while you get comfortable. Then retire it for good.
Don't move the junk
A migration is a rare chance for a spring clean. Old leavers, half-finished columns, that mystery tab from 2022 โ leave them behind. Import the members you actually have, not the archaeology.
Expect a short adjustment, then relief
The first week feels different, as any change does. By the second, the everyday jobs โ taking a register, finding a member, checking who's due to renew โ are faster than they ever were on the sheet, and you stop worrying about the file getting corrupted.
Good onboarding makes all the difference here: importing your existing members for you, so you start from your real data rather than a blank screen. Ask for that help โ it turns a daunting switch into an afternoon.
You're not abandoning the way you work. You're keeping everything that mattered about the spreadsheet and dropping the fragility that came with it.
